HOA Board Meeting

April 22, 2017

Attendees: Emily Bartlett, Douglas Welton, Eric Stenstrom

 

1.       Officers for the remainder of the year:

President: Douglas Welton

V. President: Eric Stenstrom

Secretary: Emily Bartlett

Treasurer: Mitch/Eric (Douglas will reach to Mitch and follow-up)

Russell Hodge

Heidi Dopp

Carly Baker

Stephanie Brooks

There may be some others in the neighborhood that want to be a part of the board. Douglas was going to reach out to those prospects to confirm.

2.       Bylaws – We have decided to hold on these for the remainder of this year while we focus on engagement

3.       PO Box – We no longer have our PO Box at Starmount. Eric and Douglas were going to go to the PO Boxes at PRSC to see if there was availability there and will circle back.

4.       Storage – We approved Meals on Wheels to borrow tables and materials from the storage unit on April 29 and CROWN to borrow tables and tents for an event on May 6. Eric will own inventory for the Meals on Wheels event and Margaret will own inventory for the CROWN event. Ownership includes getting stuff to and from the storage unit itself.

5.       Keys - We now have extra keys for the storage unit, the bulletin board in the park, the dog poop bag dispenser and we will get extra keys for the PO Box once established. We will work on a plan to ensure that these keys stay together and are accessible.

 

Next Steps:

1.       Douglas and Eric to follow-up on the PO Box options for us

2.       Douglas to follow-up on his conversation with Mitch about Treasurer position

3.       Amber – you and I need to meet when you’re back to get the minutes from January, March and April out on the website.

 

Update:

4/26 - There are PO Boxes available at PRSC post office. Eric Stenstrom will complete the application.

Not sure how some of these people are still on the 2017 board since  they termed out by the original bylaws at the end of Dec. 2016?

 

Who cancels PO BOX before getting another one?   Not a smart move.

You guys might want to read the Bylaws.    Then look at the minutes each year for November for the election going back more than a decade for term and what people had left as directors.    You will see who is eligible and who is not.   It didn't appear you had any election last fall??  If so I am pretty sure it didn't show up in the minutes. 

 

Board members are elected by the membership not by the board.    The board can elect officers, or you can have the officers elected by the membership as it was done up through the year Valerie Delby servced as President in 2014.   That year she left very detailed info in the minutes for 11/14 on elections and eligibility.  

 

It appears from what has been distributed that a chunk of the board is not legally elected by the membership any longer?  

 

 

Also I woud suggest that someone reach out to Ruth Tansill about running for the board.   She put together that Earth Day event for the community this month.   She has something else planned for next year with City Walk.     She does not mind doing work or getting her hands dirty.     Douglas she lives on your block.   Hit her up.   She has been involved and on top of things for over a decade in the community.
